The program assistant role supports the General Manager (GM) in creating the ultimate fitness experience for program guests. The role, amongst other duties… will include assisting in the fitness and training programs and guest experience. 

We have a duty to our clients to continue to provide the most relevant equipment, class content specific to the goals of the program whilst maintaining that our training area is spotless so that our clients can enjoy their experience. The responsibilities will cover as broad of an area as managing & overseeing fitness studio staff and the data to day collection and reporting of class and client information into easy to understand reports and ensuring effective communication of information between PhuketFit teams, other duties include ensuring the execution of the correct purchasing procedure is followed.

As a program assistant, you will be based in the reception office but be responsible for assisting with the administration and organization of the program side of PhuketFit by assisting the GM in reporting functions, such as, recording classes and trainer attendance noting punctuality of both PKF and outsourced trainer, guest survey feedback, monthly personal training logs and collecting & reporting customer data into detailed spreadsheets for the fitness department.

Program Coordinator Job Responsibilities:

  • Promote and cultivate PhuketFit’s vision and mission by following and embedding the company core values in all the fitness team.
  • Assist with reception/front office tasks when required including check in /check out of guests.
  • Lead the other fitness staff with any advice and support to ensure we are all following the best protocols to help the guests with whatever they need before and after class.
  • Display friendliness and willingness to help at all times, to guests, visitors, business partners and fellow employees.
  • Maintain established PhuketFit and departmental policies, procedures, standards and objectives.
  • Adhere to PhuketFit rules & regulations whilst adhering to the fitness industry code of ethics. Assist with any fitness policy amendments if/when necessary.
  • Provide status reports on a daily, weekly or monthly basis, or as needed by the General Manager (GM).
  • Assist GM/HR in the oversight of payroll duties for fitness department staff, and resolve any issues pertaining to (payroll) time attendance and HR issues – if required.
  • Respond to all guest concerns in a prompt, professional and courteous manner. Keep GM well informed of any issues and/or concerns.
  • Provide 5-star guest relation services and act as a role model for all staff. Maintain a cooperative and professional work relationship with guests, staff, superiors and departments.
  • Maintain department equipment and coordinate any needed repairs with engineering and/or outside vendors. Responsible for maintaining records for all equipment (maintenance/cleaning) and for troubleshooting maintenance issues & always communicating issues and progress to GM. Ensure that the Fitness areas and equipment are in immaculate condition and perfect working order. Ensure gym facilities are maintained clean, safe and orderly.
  • Ensure cleanliness of fitness areas and various fitness rooms. (pickup towels, trash, clean all equipment and any spills). Will also assist in ensuring the locker rooms are stocked, clean and tidy.
  • Monitor and manage the condition and acquisition of fitness equipment for PhuketFit exercise classes and coordinate any new deliveries, moving or training on any new equipment. Prepare and submit purchase order requests for equipment and supplies as directed by GM.
  • Be willing to train all new staff on safety and conduct safety test drills on a regular basis – if  
  • Ensure the Fitness areas, offices and equipment are clean, well maintained and secure. Ensure floor staff, trainers, etc. are keeping studios to high standards.
  • Attend weekly team meetings with staff and management, as and if required.
  • Supervise day-to-day operations of the fitness studio gym.
  • Report complaints and incidents, e.g. accidents and emergencies or theft, to the responsible person.
  • Ensure that the clients are given high quality services and assistance when needed.
  • Report any issues and complaints pertaining to fitness dept or classes from clients to GM.
  • Report client suggestions and recommendations to GM.
  • Handle PR / PO process for General Manager
  • Perform other additional job duties as assigned.
  • Writing monthly or weekly reports and/or class number/register/ guest data from FO or Sales.
  • Promote & inform employees of all marketing promotions and events.
  • Any other additional tasks or responsibilities deemed necessary by management pertaining to the needs of PhuketFit’s programs and its guests
